Prepare and send invoices to clients

We can prepare and send invoices to clients for you or also help in setting up a digital system such as Xero. 

Set up fees apply if you wish for us to transfer data into an invoicing system. Currently, we use Xero as our primary system. 

Reconciliation, banking, accounting and payroll is not included.

No-Contact Product Photography

We are professionally accredited in photography and have a home-based studio for your product photography needs; contact free. Simply send or drop off your products to us and we will take care of the rest for your social media and website images. Prices from $250.

Client Intake, Booking & Admin Support

We will sign your business up to a system in which we will be able to create client files for you, send SMS confirmations and have a calendar system with bookings.

Document Formatting

Need help creating business letter templates, formatting documents and a little proofreading? We can help for most non-legal, non-financial proofreading such as letter templates/letters to clients.

Image retouching services

For professional photographers only - with RAW files, we can help speed up your workflow with portrait retouching, starting from $60 per hour.

Payments

We will not carry out any work unless payment of four weeks' at a time is made. We understand having weekly-based plans can fall at the back of your mind; therefore our payment terms are on a monthly basis. Failure to pay the following month will result in your plan being paused until a payment is received. We will then hold your plan for 31 days maximum before cancellation if payment has not been received. 

 

Places available

To ensure we have a healthy work/life balance and quality service to you, we have limited places for each package. Once places are filled, you are welcome to be on our waiting list (you will be notified if places are full).

Hours of operation

At this time, Top End Virtual will operate in between our other business with shared hours from:

Monday to Tuesday: 9am - 4pm

Wednesday to Friday: 2pm - 7pm

Closed on Public Holidays and Weekends*

* If Top End Virtual is somehow unable to fulfil one or more days due to illness, events out of our control (cyclone, disaster, equipment failure), we will endeavour to notify you in writing as soon as possible and add those missed hours to the next available week we can operate. We operate another business during these hours, and therefore any package chosen is usually spread throughout these hours to work with our other clients. This will not affect our dedication to our clients as Top End Virtual is completely an online business. 

Notes about our services

Our business does not offer any in-person customer service, payments (unless we set up an online system), medicare/private health matters, phone customer service, in-person filling in or sales and product/service information. We also do not supply book-keeping, accounting or any tasks which require a qualified and accredited professional. We are a virtual assistance business running online. We are happy to contact clients for confirming bookings if they fail to respond to SMS confirmations; and this will be done at an appropriate time of the day.

 

There are limits on how many services we can offer you per package; as every business is different. Our business has the rights to notify you if we find that the tasks required within the limited timeframe will not be met (e.g. unrealistic invoicing amounts within five hours per week for a very busy business is not appropriate). We have the right to decline services or request further payment should this occur. 

Any marketing costs such as Facebook and Instagram must be paid for separately. Insights to the success of these campaigns will be supplied as time progresses. A minimum of three months is required to see the trend of a campaign and adjust it. 

Any services involving transferring client/customer/workplace data will incur an extra fee. We use multiple systems in which take time to set up if there is a lot of customer/client/business data to incorporate if required.

Conditions apply when terminating your plan (minimum of two weeks' notice required before the scheduled end of the three month period, and it must be in writing to our business email).

Strictly one business permitted per package.

If you wish to "pause" your plan, you are welcome to (e.g. for Christmas shutdown, family reasons, etc.). However, you cannot transfer your price or package to another business. To retain your special pricing (if any), you must pre-pay month by month. The longest you can "pause" one of our plans is 31 days until it is automatically cancelled. Once cancelled, old/special pricing is no longer valid.

 

Costs apply if we are required to transfer data/subscriptions to you upon cancelling your plan - this will be quoted on a case-by-case basis as some may not require as much time than others. In some cases, we may be unable to transfer if we cannot do this online.
